You can manage workflows in SharePoint Online by using the Authoring Tool and a Management Pack. To start a new workflow, select the option Create. Enter a name and description for your workflow. This should be an alphanumeric name of 50 characters or less and must start with an alphabetical character. Enter a description in the Description box. Note that some views only display the first 200 characters of a name. After that, click Finish.
Once you've set up your preconditions, configure the rules for your workflow. For example, if a procurement document is created, you can use the Flexible Workflow to trigger it based on a precondition. Once you've set up a precondition, you can define whether the workflow should continue without a certain step. Similarly, you can use the Manage Workflows Fiori application to configure the workflow.
Another feature that helps you manage workflows is the ability to export form responses to an external application. This feature is particularly helpful if your workflow has formed. Form responses can be exported to other applications and then imported into Slack. Workflows can be edited at any time by anyone who has permission to do so. However, you must publish your changes in order for them to be published in the live workflow. You can also add new steps to your workflow, modify step behavior, or create a custom icon.
Managing workflows allows you to create a digital trail of all activities within a process. This can help you to audit the process. After mapping out the workflow, you can decide which tasks are redundant and which ones can be automated. By automating these repetitive tasks, you can free up valuable employees for higher-value work. Inefficient workflows can cause a backlog, and if you can identify them, you can eliminate them.
